Water Coolers For Hire FAQs
How much does it cost to hire a water cooler?
Water cooler hire from Water Coolers for Hire starts from just £4 per week plus VAT. This price includes the machine, on-site installation by our engineers, and routine servicing and maintenance throughout your rental agreement. There are no hidden costs or call-out charges for standard maintenance visits.
What is included in the water cooler rental agreement?
Your rental agreement covers the water dispenser itself, delivery and installation by one of our trained engineers, and ongoing servicing throughout the contract period. Filter replacements are carried out by our engineers as part of regular maintenance visits, so you never need to worry about ordering parts or arranging service yourself.
Do I need a plumber to install a water cooler?
No. Our own engineers handle the full installation, including the mains connection for plumbed-in models. For bottled water dispensers, no plumbing is required at all — they simply plug into a standard 13-amp socket. You won't need to arrange a separate plumber.
What is the difference between a mains-fed and a bottled water dispenser?
A mains-fed (or point-of-use) water dispenser connects directly to your building's water supply, filters the water on demand and delivers it chilled or hot. These machines provide unlimited water with no bottles to manage. A bottled water dispenser uses large replaceable water bottles and requires no plumbing connection, making it a good option where a mains supply isn't accessible. Both types are available to hire from Water Coolers for Hire.
How do I know which water cooler is right for my business?
The right machine depends on a few key factors: how many people will use it, whether a mains water connection is available, whether you need hot water as well as cold, and how much space you have. As a rough guide, a small team of up to 10 people might suit a countertop bottled or mains-fed model, while larger teams or high-traffic environments are better served by a freestanding mains-fed dispenser with a higher output capacity. Call our team on 01925 919828 and we'll help you choose.
Are your water dispensers hygienic?
Yes. All our water dispensers use high-quality carbon block filtration as standard, which removes chlorine and improves taste. Certain models — such as the Waterlogic WL3000 — also incorporate UV purification technology, which eliminates bacteria at the point of dispense for an additional layer of protection. Our engineers service and sanitise your machine regularly as part of your rental agreement to maintain the highest standards of hygiene.
How long does installation take?
For most machines, installation takes less than an hour. Our engineer will connect the dispenser to your water supply (for mains-fed models) or simply position and plug in the unit (for bottled models), test everything to confirm it's working correctly, and show you how to use it. We aim to minimise disruption to your working day.
Can I have more than one water cooler on my premises?
Absolutely. Many of our customers operate multiple machines across a single site — for example, one per floor, or one in each department. We can supply and install as many machines as you need and manage servicing across all of them under a single rental agreement. Call us on 01925 919828 to discuss a multi-unit arrangement.
What happens if my water cooler develops a fault?
If your machine develops a fault, contact our team on 01925 919828 or email sales@watercoolersforhire.co.uk and we'll arrange a service visit as quickly as possible. Faults are covered as part of your rental agreement — there's no additional charge for repair visits resulting from mechanical issues with the machine.
Is renting a water cooler better for the environment than buying bottled water?
Yes, significantly. A mains-fed water dispenser eliminates plastic bottles entirely, as water is drawn directly from the mains and filtered on demand. Even a bottled water dispenser is far more environmentally friendly than buying single-use plastic water bottles, as the large 18.9-litre bottles are reused many times before recycling. Switching to a water cooler is one of the simplest steps a business can take to reduce its plastic waste.
